Intro


This page answers some of the questions I am most often asked about event photography bookings, pricing, delivery, and image use. If you do not see what you need here, please get in touch.

Detailed terms are confirmed in writing at the time of booking. For formal transaction details, including payment, cancellation, and legal business information, please see the Legal Disclosure.


Bookings


How do I make a booking?

A booking begins with an enquiry through the contact form or by email. Once I have confirmed availability and discussed the details with you, I will send a payment link for the retainer. Your date is only reserved once the retainer has been paid.

How much notice do you need?

Earlier is always better, especially for multi-day events and busy periods, but I welcome enquiries at any time, including last-minute ones.

Do you photograph multi-day events?

Yes. A large part of my event photography experience has been built around multi-day conferences, forums, symposia, and similar programmes in Japan and abroad.

Do you work outside Japan?

Yes. I am based in Japan, but I also accept selected international assignments.

Can you travel anywhere in Japan?

Yes. I am available for assignments throughout Japan, including Hokkaido, Tokyo, Kansai, and Okinawa.

Do you speak English?

Yes. I work in English and am particularly well suited to international organisations, businesses, and institutions holding events in Japan.

How do you work during an event?

My approach is shaped by documentary practice. I work quietly and unobtrusively, paying attention not only to the formal programme of an event, but also to the expressions, exchanges, and unscripted moments that give it atmosphere and character.

What happens if you are unable to attend?

If I were unable to attend because of serious illness, injury, or another exceptional circumstance, I would make every reasonable effort to help find a suitable replacement photographer. If no replacement could be arranged, any amount paid for unperformed services would be refunded in accordance with the booking agreement.

What happens if I need to cancel?

If you need to cancel, you must notify me in writing by email.

If you cancel more than 30 days before the event, the 50% retainer is non-refundable. Any travel, accommodation, or other third-party costs already paid or incurred are also non-refundable. Any other sums paid toward the remaining service balance will be refunded.

Coverage & Deliverables


How many images will I receive?

I do not work to a fixed image quota. I edit and deliver the strongest photographs from the assignment, and the final number depends on the length and nature of the event. Once I understand the schedule and scope of the coverage, I can give you a rough idea of what to expect.

Do you edit the images?

Yes. Final images are professionally edited for colour, contrast, exposure, and crop, and prepared for web and print use. More advanced retouching can be arranged if needed for an additional fee.

Can you provide a second photographer?

Yes. If additional coverage is needed, I can arrange a second professional photographer. This should be discussed as early as possible so that availability can be checked and costed properly.

Is video available?

Video is available only by arrangement and depends on the schedule and the kind of coverage required. In some cases, I may be able to record a small amount of video myself. If simultaneous photo and video coverage is needed, a separate videographer may be required. If video is important, please explain your requirements in detail when you enquire.

When will I receive the images?

Edited images are usually delivered within 5–7 business days of the event. If you need them sooner, expedited delivery or a small set of early highlights may be arranged in advance for an additional fee.

How are the images delivered?

Images are usually delivered electronically by secure file transfer or private download link. If you have a preferred delivery method, please let me know in advance.


Payment


Do I need to pay a retainer?

Yes. A 50% non-refundable retainer is required to reserve the date. The retainer is deducted from the final service balance.

When is the remaining balance due?

Unless otherwise agreed in writing, the remaining service balance is due 30 days before the event.

If the booking is made within 30 days of the event, the remaining service balance is due immediately.

Final images are delivered only after all invoices have been paid in full.

What payment methods do you accept?

Payment can be made by bank transfer, credit or debit card, or PayPal.

How are travel and accommodation costs handled?

Travel, accommodation, and any other third-party costs are not included in the published rates.

Travel, accommodation, and other third-party costs must be paid in advance before those costs are booked or incurred, where applicable.

Once travel, accommodation, or other third-party costs have been booked or paid, those costs are non-refundable.

How are international assignments charged?

International assignments are quoted individually. The event coverage rate remains the same, but travel days may be charged at a reduced travel-day rate. Transportation, accommodation, and any related third-party costs are billed separately.


Usage & Rights


Who owns the copyright?

Copyright in the photographs remains with me at all times.

How may I use the images?

Once the invoice has been paid in full, you receive a non-exclusive licence to use the images for your own website, social media, press, internal communications, and promotional materials related to the event or your organisation.

Is credit required?

Credit is always appreciated where practical, but it is not required unless this has been agreed in writing in advance.

Can I pass the images to third parties?

Not without prior written permission. If a sponsor, venue, partner organisation, publisher, or any other third party would like to use the images independently, that use must be agreed separately in writing and may require an additional licence fee.

Is exclusivity available?

Exclusive or private-use arrangements may be available by prior written agreement for an additional fee. Because exclusivity depends on the scope, duration, territory, and intended use of the images, it is quoted on a case-by-case basis.

May you use the images for your own portfolio or marketing?

Unless otherwise agreed in writing, I may use selected images from the assignment for my portfolio, website, social media, editorial submissions, competitions, and related self-promotional materials. If confidentiality or private-use restrictions are important, this should be discussed before booking and confirmed in writing.
